How to use the Manage People section to do bulk actions and sort contact records

Are you ready to efficiently manage your contacts in the People section of Text In Church? Great! We'll walk you through sorting, filtering, applying bulk actions, and other useful tips for a smoother experience.

Sorting:

  • To get started, click on the "People" section in the left-side menu.

  • Want to arrange your contacts in a particular order? No problem! Click the expansion box above the Search bar.

  • You can sort your contacts by various criteria by simply clicking on the column titles. It's that easy!

Filtering:

  • Need to narrow down your list? Click the filter button to the right of the Search bar.

  • Now, you can select the criteria you want to filter by. Customize your search to your heart's content!

Bulk Actions:

  • Bulk actions can save you a ton of time. Here's how to use them:

    1. Choose the contacts you want to apply bulk actions to. You can select all or pick them one by one.

    2. Then, decide which bulk actions you want to apply. It could be sending messages, updating contact information, or adding them to a group.


Viewing Message History:

  • To see the complete message history with a contact, follow these steps:

    1. Head to the People section of your account.

    2. Click on the name of the contact record you're interested in.

    3. Click Messages in the top left of the contact.

    4. Now, click on the 'eye' icon in the top right to view the entire conversation history. Easy, right?

Adding Contact Custom Fields:

  • Custom fields are super useful for recording specific information. For example, you can track T-Shirt sizes for events. Here's how to create them:

    • Option 1:

      1. Go to the People section of your account.

      2. Click on the name of the contact record where you want to add a custom field.

      3. Click the plus icon (+) in the top right of the Custom Fields box.

    • Option 2:

      1. Go to your Account Settings.

      2. Click on "Custom Contact Fields."

      3. Hit "Add Custom Contact Fields."

  • Once you're there, give your Custom Field a name and specify if it's a Date, Number, or Text field. You can even set a Default Value if needed.

Removing Contact Custom Fields:

  • If you ever need to remove Custom Contact Fields from all Contact records, it's a breeze:

    1. Go to Account Settings.

    2. Click on "Contact Custom Fields."

    3. Locate the field you want to remove and click the trusty Red Trash Can icon.

Managing Automated Workflow Steps:

  • Want to streamline your workflow? Text In Church makes it easy:

    1. Navigate to the People Section.

    2. Select the contact whose workflow experience you'd like to edit. You can do this by clicking the navigational arrows below the Contact Record.

    3. Now, you have a choice. Click the "Send" or "Cancel" button to either send the Workflow step right away or cancel it.

    4. Confirm your choice by clicking "Yes, send now" or the relevant option.

  • For more insights, you can also click on the "Processed Steps" button. This helps you check the status of your Workflow steps - Queued, Completed, or Missed.

  • And guess what? You can get even more details by checking out the Automated Workflow Report in the Automated Workflow section.

    Adding People to Groups

    Adding someone to a group can be done in four easy ways:

    1. Via Keyword:

    • This method is super simple. When someone joins via a Keyword, they are automatically added to the group associated with that Keyword. Easy peasy!

    2. Using Connection Cards:

    • Place a Connection Card on a tablet or computer and have people fill out their contact information. This action creates their record and adds them to the relevant group.

    3. Importing from a CSV File:

    • If you have an existing list of people in a CSV file, you can import it into Text In Church and assign them to a group of your choice. No need to worry about duplicates; we've got that covered for you.

      Note:

      If you accidentally missed checking the permissions box when importing your CSV file, resulting in all records being opted out, you can contact us for assistance. Our team can help opt in these records.

      To correct this, please follow these steps:

      1. Email the Support Team: Contact us at Support@textinchurch.com with the subject line "Assistance with Re-Opting In Contacts."

      2. Attach the CSV File: Include the CSV file you initially used for the import. This file is necessary for our team to help correct this.

      3. Provide Account Details: Make sure to email us using the email you use to sign in to your Text In Church account or share this in the message with us.

    4. Manual Addition:

    • Sometimes, you just need to add a new person manually. When you choose this option, you can specify which group you want to add them to. It's as simple as that!

    Adding Existing People to Additional Groups

    If you already have someone's record in your system but want to add them to another group, we offer two convenient methods:

    1. Bulk Addition:

    • Navigate to the People tab, where you can see the list of individuals in your account. Select the checkboxes next to the names of the people you want to add, then click the "Action" dropdown. Choose "Add to Group," and a pop-up will appear where you can select the desired group. Click the blue "Select Group" button to confirm.

    2. Single Addition:

    • For adding a single person to a group, simply click on their name. You'll see a small plus symbol in the lower half of the page, under "Groups." Click it to bring up a pop-up, select the group from the dropdown menu, and click the blue "Select Group" button.


    Removing People from Groups

    Now, let's talk about how to remove someone from a group:

    1. Via the People Section:

    • Start by clicking on the People section on the left side of the screen. Find the person you want to remove and click on their name. A quick overview of their information will appear. To remove them from a specific group, click the "X" icon next to the group name.

    2. Within the Members Tab of a Group:

    • Open the group you want to manage and go to the Members Tab. On the right side of the person's name, you'll spot a handy trash can icon. Click on it to remove them from that group.

    In both cases, you can also choose to remove multiple members at once. Simply click "Select Action" and then click "Remove Members" to efficiently remove them from the group.
