Easily create, assign, and manage tasks in Text In Church. Streamline your workload with tasks and effective follow-up strategies.

Overview

In Text In Church, Admins, and Users can easily create personal to-do items or assign them to others on the account using Tasks!

Tasks can also be created using Automated Workflows, streamlining the task-creation process.

To access Tasks, click the Task tab on the blue left-hand sidebar of your account.

Setting Up Categories

❗ Note: Before creating your first Task, set up your Categories. Categories cannot be created while setting up a Task.

Access Categories:

- Navigate to the Categories button to view, set up, or manage your Categories.

Color Assignment:

Note: The color assigned to a Category can only be edited after the Task has been created.

Creating New Tasks

There are multiple ways to create a new Task!

From the Tasks Page:

- Go to the Tasks tab and click "Create New Task."

From the Inbox:

- Open an email or message and select "Create Task" to convert the message into a task.

From Automated Workflows:

- Use the Task Builder to create tasks automatically based on specific triggers in your workflows.

Task Builder Details:

- Title: Name your Task.

- Assignee: Assign to an Admin or User on the account to the Task.

- Priority: Set your Task as Low, Medium, or High.

- Due Date: Sets when this Task will be due.

- Category: Choose from a dropdown list of categories you've created.

- Description: Add detailed information about the Task.

Note on Automated Workflows:

- Schedule Step: This sets when the Task should be created.

- Due After: This setting defines how many days after the creation date the Task will be due.

Example: In an Automated Workflow for First Time Guest Follow-up, you can create a task to send a follow-up card one day after a guest joins.

If this needs to be completed within a week, set "Due After" to 7 days.

Filtering Tasks

- Use the Filter button within the Tasks tab to narrow down tasks by category, priority, assignee, and due date.

Driving Tasks

Admin Permissions: Admins can see and manage all tasks assigned to all Users.

User Permissions: Users can only see tasks assigned to them.

Managing Tasks Actions:

- Complete Task: Click the checkbox next to a task and mark it as completed.

- Reassign Task: Click "Selection Actions" to reassign the task to another User.

- Delete Task: Click "Selection Actions" to delete the task.

Viewing Completed Tasks

- Click on "Completed Tasks" to view tasks that have been marked as complete.

By following this guide, Admins and Users can efficiently manage their tasks, streamline follow-up processes, and maintain effective communication within Text In Church.
