Welcome to Calling™ by Text In Church!
This guide provides a comprehensive overview of the features and functionalities of Calling, including phone numbers, voicemails, call history, Digital Receptionist, Callers, and Teams.
Follow these steps to make the most out of your Calling™ by Text In Church experience.
Phone Numbers
Managing Phone Numbers:
- Active Numbers:
View and manage the active phone numbers on your account.
- Edit Settings: Click the blue manage button, then the three dots next to a phone number to edit the following settings.
Change the name of the phone number.
Enable or disable incoming SMS messages and calls.
Forward calls to a human receptionist by selecting a user on your account.
Set the duration for ringing before forwarding to voicemail, and choose to announce the caller.
Schedule call forwarding for specific times or days.
Create an automated response to be sent to incoming texts on the number during a set period of time.
Additional Options:
- Save Changes:
Click the save button at the bottom to apply any changes.
- Set As Primary: Set this number as the default number account-wide.
Changing the Default Phone Number
To change your default texting or calling number in Text In Church:
Go to the Calling tab.
Click View All under the list of phone numbers.
Locate the number you want to set as the primary number.
Click the three dots next to the number and select Set As Primary.
Alternatively, if you do not have Calling, you can follow these steps:
Navigate to Settings (found in the bottom-left corner of your dashboard).
Go to the Phone Numbers section.
Click View All, locate your desired number, and use the three dots to set it as the primary number.
Add or Delete Phone Numbers: Use the add new button to add a new number or port your existing church landline. Delete numbers by clicking the three dots next to the number.
Using an Existing Phone Number
If you want to use your current main phone number for Text In Church:
Go to Settings in the bottom-left corner of the dashboard.
Navigate to the Phone Numbers section.
Select Use Your Existing Number and follow the prompts on the screen to transfer or port your current number to Text In Church.
Voicemails
Accessing Voicemails:
- View Voicemails:
Click see all to view all voicemails left on the account.
- Playback and Transcripts:
Play messages and view transcripts. Mark the voicemail as read once reviewed.
- Manage Voicemails:
Click the three dots next to a voicemail to manage the following settings:
- Go to the caller’s record.
- Mark as new if it still needs action.
- Return the call, send a text, or email the caller.
- Delete the voicemail.
Call History
Navigating Call History:
- View Call History:
Click see all to see all calls, including inbound, outbound, and missed calls.
- Filter Calls:
Filter calls by date or specific phone numbers.
- Call Details:
See who received the call, the calling number, call duration, and status.
Call Flow Analysis:
- Detailed View:
Click on a call to see its flow, including when it was received, any actions taken, and if a voicemail was left.
Digital Receptionists
Managing Digital Receptionists:
- Edit or Add Digital Receptionists:
Click the three dots next to an existing Digital Receptionist to edit, duplicate, or delete it.
Use the "Add New" button to create a new one.
- Templates:
Create a Digital Receptionist from a template or from scratch.
- Configuration:
Name the Digital Receptionist, add descriptions, and set up the welcome script and actions.
Advanced Settings:
- Recording Settings:
Use ProVoiceStudio for professional recordings or record your voice.
- Action Management:
Add or edit actions such as sending texts, forwarding calls, capturing voicemails, and more.
Callers
Setting Up Callers:
- Add New Callers:
Click "Add New" to add calling permissions to a User and turn them into a Caller, assign an extension, and set their availability.
- Voicemail Settings:
Set the duration before a call goes to voicemail, enable voicemail transcription, and create custom voicemail greetings.
Teams
Managing Teams:
- Create and Manage Teams:
Click View All next to Teams, then add new to create a Team. Add multiple Callers with similar schedules.
- Team Call Settings:
Configure voicemail settings, call duration before voicemail, and call announcements.
Team Functionality:
- Team Scheduling:
Assign specific days and times for Team members to receive calls. Individual availability settings will override team settings if there is a conflict.
FAQs About Number Management
Q: Can I use any number for texting?
A: No, only numbers listed and enabled within your Text In Church account can send or receive texts.
Q: Where do I find the settings to manage phone numbers?
A: You can access number management settings under the Calling tab or in Settings > Phone Numbers.
Q: Is it possible to use a landline as my main number?
A: Yes, but the landline must first be ported into Text In Church following the "Use Your Existing Number" process outlined above.
