How to set up a Digital Receptionist from Scratch

You can now use the Talk In Church feature to add a Digital Receptionist to your phone number!

A Digital Receptionist is what people will hear and interact with when they call your Talk In Church number. It will allow the caller to press a number to learn more information or connect with different ministry areas at your church!

We’ve created a helpful template for you to quickly set up your Digital Receptionist, but you’re more than welcome to build one from scratch!

Here are the steps to take:

Click on Talk
  • Click on the Digital Receptionist option at the bottom of the list.

Click on Digital Receptionist
  • Here you will want to click the orange “Add New” button on the top right side of the screen.

Click on Add New
  • Click on Create from scratch to build your Digital Receptionist

Click on Create from scratch
  • Click on Next

Click on Next
  • Create a name and description for your Digital Receptionist to help you remember what it is for.

Click on dialog
  • Click Continue.

Click on Continue
  • Next, fill out your Church information to automatically populate into Actions or skip this step.

Click on dialog
  • Once you have filled in your information, click Done.

Click on Done
  • From here you can read through the sample Welcome Script, and make changes to your Digital Receptionist. Click Add Action to set up what will happen when the caller dials an option. Example: “Press 1 to hear our Service Times and Locations.”

Click on Add Action
  • Use one of our prewritten Actions to fit your needs or create your own with the custom action button.

Click on Add Action…
  • You can use Service Times and Locations to share when and where services are held.

  • Plan a Visit can be used to allow callers to Plan A Visit in the future to your church.

  • Staff Directory is helpful for callers to find the specific staff member they may have been looking for.

  • Team Directory allows callers to find the team they want to reach regarding questions.

  • Prayer Request allows guests to leave a voicemail message with their requests for prayers.

  • Share opportunities for callers to serve and leave a voicemail with Service Opportunities.

  • Callers can leave a message for you to get back to them using the Leave a Message action.

  • Urgent Request can be used to forward callers to a care pastor.

  • Custom Action can be used to fill in any blanks and create any other needs you may have for your Digital Receptionist.

  • Under Additional Options, you can…

    • Send a text message allowing you to send a text message of your choice to the person calling.

    • The Add to Group option allows the person calling to be added to a Group in your account.

    • The Forward to option forwards incoming calls to the selected Caller after the recording plays.

    • Using Capture voicemail after the Digital Receptionist plays through, the call will go to the voicemail box and an email will be sent to the email of your choice

  • Then, you can click the settings wheel next to Published to set up the Pro Voice
    Studio settings for your Digital Receptionist.

Click on highlight
  • From here you can set up your Pro Voice Studio settings which will allow you to create custom recordings using advanced deep-learning technologies to synthesize natural-sounding human voices or you can record your own voice to use in the Digital Receptionist (Note: you will need your own microphone to record your own).

  • Finally, all changes are saved automatically as you work through your Digital Receptionist. You can click the Published button if you decide not to enable this Digital Receptionist at this time.

    Note: Pressing * will repeat the current menu, while pressing 0 will return to the main menu of the Digital Receptionist.
