How Text In Church Handles Duplicate Contacts During the PastorsLine Upgrade

As we transition accounts from PastorsLine to Text In Church, one of the most important things to understand is how contact records are managed when multiple people share the same phone number.

How Text In Church Matches Records

​Text In Church identifies records based on phone number and email, not by name. Because of this, a phone number and email address can only exist on one People record.

If multiple records were allowed to share the same contact information, it could cause:

  • Duplicate text messages being sent out 📱

  • Duplicate emails being delivered ✉️

  • Messages being flagged as spam 🚫

We want to protect your sending reputation, so it’s critical that each record in Text In Church has unique contact information.

The Migration Process for Duplicates

Here’s how we’re handling duplicate contact records during the migration from PastorsLine to Text In Church:

  1. Primary Contact Comes First

    • In PastorsLine, one contact is marked as the primary.

    • This person will be migrated into Text In Church with their phone number and email (if provided).

    • Any Groups they were part of in PastorsLine will also carry over.

  2. Duplicate Records Without Their Own Email

    • If another record is using the same phone number but doesn’t have its own email address, it will not be added to Text In Church.

    • This ensures we don’t create conflicts or send duplicate messages.

  3. Duplicate Records With Their Own Email

    • If a duplicate record does have its own email address, we treat the email as their unique identifier.

    • That record will be created in Text In Church with the email address, but the phone number field will be left blank.

Why This Matters

By following this process, we prevent duplicate sending, reduce the risk of spam flags, and ensure your communication stays clear and effective. It also keeps your contact list clean and accurate in Text In Church.
