Automated Workflow Report

How to tell what step someone is on, skip steps, or send steps immediately

Within your Automated Workflows, the Automated Workflow Report gives you the ability to view the total number of steps processed for an entire workflow and the status for each individual step in the Automated Workflow. This insight can be helpful to understand how many people are on a specific step in the workflow, which people have already received a certain step, or why they might have missed a specific step.

From this report, you can also skip steps and push certain steps out immediately to certain individuals as needed.

To access this report:

  1. Sign into the website version of Text In Church

  2. Click “Connect” then “Workflows”

  3. Click the name of the Automated Workflow

  4. Click the “View Workflow Report” icon in the top right corner

This will open the Automated Workflow, displaying the steps of the workflow on the left side of the page, and the report on the right side:

How to read this report:

  • The top of the report shows you the total number of steps that have been processed for this workflow.

  • The blue “Waiting” column indicates how many people are still waiting to receive this step of the workflow. Waiting means this step is scheduled to send in the future.

  • The green “Processed” column indicates how many people have processed through this step of the workflow already. Processed means this step has been Completed, Canceled, or Missed.

  • If the “Waiting” and “Processed” columns of the report are greyed out, this indicates that the specific step is paused and will not be processed.

  • Click on the blue “Waiting” column to view the people that are still waiting to receive this specific step of the workflow. This will also show you when this person is scheduled to receive this step.

  • Click on the green “Processed” column to view the people that have already processed this specific step of the workflow. This will also show you when this step was processed for each individual.

  • “Completed” means the step was successfully sent as scheduled.

  • “Skipped” means the step was manually canceled and that step will not be sent for that individual.

  • “Missed” means the step will not be sent for that individual because they have missed the date it was scheduled to send. This would apply to a Calendar Date Trigger Workflow, if the person joins the group late, they won’t receive the workflows they missed, but will receive the future workflows.

How to Skip an Automated Workflow Step

There are times when a person may need to skip a step in your Automated Workflow. For example, you may have connected with a first-time guest already via email when they reached out to you. Because you already sent them an introductory email manually, you may not want them to receive the introductory email in your First Time Guest Automated Workflow.

Here is how you can skip or cancel a specific Automated Workflow step for a specific individual:

  1. Sign into the website version of Text In Church

  2. Click “Connect” then “Workflows”

  3. Click the name of the Automated Workflow

  4. Click the “View Workflow Report” icon in the top right corner

  5. Click the blue “Waiting” column by the specific step you want to skip

  6. This will show you a list of the People records that this step is scheduled to send to in the future. Find the name of the individual in the list, then click “Cancel”

Canceling this message will stop the individual from receiving it. Everyone else in the workflow will still receive it. If you want to ensure that no one receives this specific automated workflow step, consider pausing or deleting the specific step.

How to Send an Automated Workflow Step Immediately for an Individual

There are times when you may want someone to get a specific Automated Workflow step right away instead of in the future at the scheduled date and time. For example, if you manually enter pape connection cards and you want to ensure that a specific guest receives the introductory email today, instead of next Monday, you could manually trigger that step to send right away for them!

Here’s how you can send a specific Automated Workflow step immediately for a specific individual:

  1. Sign into the website version of Text In Church

  2. Click “Connect” then “Workflows”

  3. Click the name of the Automated Workflow

  4. Click the “View Workflow Report” icon in the top right corner

  5. Click the blue “Waiting” column by the specific step you want to send immediately

  6. This will show you a list of the People records that this step is scheduled to send to in the future. Find the name of the individual in the list, then click “Send”

The person will then receive this message now instead of the scheduled date.
